"Lock the room" function
Hosts can "lock" a room at anytime before or during a meeting to prevent new participants from entering the room by just tapping the padlock icon. After the room has been locked, any new guests must be admitted to the room manually by the host. The room can be locked and unlocked at any time before or during a meeting.

Host / Guest PIN codes
When set, the correct Host PIN must be entered to start the meeting. Any guests are held in a waiting room until the meeting starts. When set, the correct Guest PIN must be entered by a guest before they're able to join a meeting room. Company admins are able to set and reset PINs for each room.

One-time use rooms
As well as scheduling a meeting in your regular meeting room, you can schedule meetings by generating a unique, one-off meeting link that expires after the meeting is completed. One-time use rooms have exactly the same functionality as your regular meeting room but are listed in your company's room directory. Instead, a unique meeting link is generated for each meeting, giving the host greater privacy and control over who they share the meeting link with. This feature lets you schedule either a single meeting, or a recurring meeting in your calendar using the same link ("Monday Sales Meeting").

Connect into scheduled video meetings from your videoconferencing room system with a single tap. Using a mobile/tablet device with the My Meeting Video app, you can turn on MEETING ROOM MODE to integrate the app with your calendar and room booking system. My Meeting Video then displays all the scheduled video meetings for that particular video system. Simply tap on the next meeting in the app to dial in from your video system. Unrestricted "room connectors" for videoconferencing room systems (H.323 / SIP devices)
The price of each user plan is fully inclusive, no matter what combination of devices you want to host in each meeting room (up to the maximum number of participants for the meeting room). Connect up to 50 SIP/H.323 devices into the same meeting room as standard - you don't pay more for supporting dial-in for more than one SIP/H.323 videoconferencing room system per virtual meeting room. This makes it simple and cost-efficient to integrate multiple meeting/conference rooms into the same workflows as individual users on other devices.

"Lock the room" function
Hosts can "lock" a room at anytime before or during a meeting to prevent new participants from entering the room by just tapping the padlock icon. After the room has been locked, any new guests must be admitted to the room manually by the host. The room can be locked and unlocked at any time before or during a meeting.

Smart Meeting Manager
Room hosts and company admins can manage each room with the Smart Meeting Manager inside the My Meeting Video app (all devices and platforms). Combining a Participants list alongside a range of conference controls for easily managing guests, room hosts or company admins can manage a meeting with the same device they're joining with, or using a smaller device when calling from a larger device or room system. Hosts and company admins can access the Smart Meeting Manager at any time, either inside or outside the room. Guests can view (but not access) the Participants list to see who else is currently in the room.

Host / Guest PIN codes
When set, the correct Host PIN must be entered to start the meeting. Any guests are held in a waiting room until the meeting starts. When set, the correct Guest PIN must be entered by a guest before they're able to join a meeting room. Company admins are able to set and reset PINs for each room.

Dial-out to new participants / videoconferencing room systems
Need to add someone to a meeting who isn't already there? With the Smart Meeting Manager it's easy to add new guests or meeting rooms to a live meeting. Simply use the Add participant feature dial them directly or send them your room link.

Via the Participants list in the Smart meeting manager, hosts and company admins can mute either individuals or all participants simultaneously.

Is it possible to record my calls and meetings?
Absolutely! With Videxio Live, our live streaming/recording integration you have complete flexibility to stream and record straight from your Videxio meeting room into a range of third-party streaming services

What's the difference between the monthly and annual subscription options?
A monthly plan lets you started right away with a small number of users - simply add more users as you grow. When choosing an annual prepay plan, you can make large savings since each annual plan saves you the equivalent of two months payments for compared to a monthly plan
- 12 month prepay - pay for 10 months
- 24 months prepay - pay for 20 months etc.
- Up to five-year prepay
The Videxio Enterprise plan is an annual prepay plan only, giving organizations big savings with a fixed cost over the period. With annual prepays you still add new users whenever you like, they will be added to your current billing cycle on a pro rata basis.

What's the difference between a video meeting and a video call? Do I have to pay extra for video calls?
All our user plans include both group video meetings and direct 1:1 video calls with unlimited dialing minutes as standard. The differences between the two are:
1) Group video meetings: multiple participants call in on video and are "hosted" in a virtual meeting room. Since the room is hosted in the cloud, you can invite anyone to join using the room link.
- These meeting rooms are designed specifically for hosting and managing group meetings, with conference control features available to the room host and company admin users
- With the meeting room, everybody must dial into the same place using the same video address (including the host)
- This means no one receives an "incoming" call
- Meetings hosted in a virtual meeting room are often scheduled
- However, it's really quick to arrange an ad hoc (unscheduled) meeting
- Each meeting room supports users calling in via traditional audioconferencing as well
- External guests can join online without needing to download anything to get participate
2) 1:1 Video calls: similar to telephone calls - one person dials "out" to another video contact, placing the call, whilst the receiving video contact gets an incoming call notification:
- This makes video calls a really powerful option for super flexible face-to-face communication
- With the My Meeting Video app, users can place and receive video calls on any device, including through their web browser, and with video contacts both inside and outside of their company network
- Since videoconferencing room systems use the same "standards-based" formatted video addresses as individual users use with My Meeting Video, it's possible to carry out 1:1 calls between individual users and meeting rooms.

Which thrid-party streaming services are supported by the Videxio Live integration?
Videxio Live integrates with streaming services using RTMP protocols, the leading industry standard for live streaming. Videxio Live supports and out-of-the-box integration with Videxio Live, with you can use the custom RTMP option to connect with our streaming services.

What's the difference between the user plans and the device plans?
1. User plans: gives someone the ability to log into the My Meeting Video app (desktop, mobile, & web) in order to manage and host video meetings and calls from any device. It combines a a virtual meeting room with a personal video address:
- Users can place and receive unlimited HD video calls with other video address
- A user's video address will be formatted like: your.name@videxio.com
- This address uses a "standards-based" format, which is the same format that videoconferencing room systems use
- Standards-based video addresses are the most common type of video address used for videoconferencing
- The meeting room is "hosted" by a user and has it's own video address so it's easy to dial from videoconferencing room systems, as well as other devices
2. Device plans: registers a videoconferencing room system on the Videxio network to enable it for video calling:
- From the registered room system you can place and receive unlimited HD video calls with any "standards-based" video address (SIP / H.323 protocols)
- For hosting and managing group video meetings, you would need a separate virtual meeting room, available with our user plans
- The device's registered video address will be formatted like meetingroom@videxio.com
- If a videoconferencing room has not been registered on a video network it will be unable to dial a meeting room address, or any other video addresses
By combining both types of plans, you will implement a single workflow for group meetings. Individual users and meeting rooms can call into the same meeting, as well as being able to invite external guests to join as well. In addition, you will enable direct 1:1 video calls between your meeting rooms and individual users.

Can we customize our company's video addresses?
Of course you can! The default domain for video addresses on our service is @videxio.com. However, we offer an option to purchase domain hosting to provide branded video addresses:
- Matches your video addresses to your company email domain
- A single license covers your entire company and all subscription plans (both user and device plans)
- Sample addresses: your.name@yourcompany.com; your.videosystem@yourcompany.com your.meetingroom.vmr@yourcompany.com

How do we combine user plans with device plans?
Combining user plans with device plans for your video room systems is really simple:
- Each subscription type is bought separately, but because we're a cloud solution, you can simply buy as many subscriptions as you need
- You can add new users or video systems as you grow
- Each subscription type connects the user or the video network to the same dedicated cloud video network

Can we combine free and paid users?
It's not possible to mix free and paid users since our paid plans are designed to specifically for teams and multiple users within the same organzation:
- Our free Starter plan has some limited team functionality for users registered with the same company email domain (such as a shared contacts directory)
- But because of these limitations, free accounts are not compatible with our paid plans
- When upgrading from the Starter plan you will be asked to upgrade any other existing free users in your company
